Job Title: Remote Front Desk Associate (Physical Therapy Clinics)
Job Type: Full-Time, Remote
Schedule: Monday – Friday, 8:00 AM – 4:30 PM (30-minute unpaid break)
Location: Remote (U.S. Based Preferred)

About the Role

We are seeking a highly organized, detail-oriented Remote Front Desk Coordinator to join our growing team. This vital role supports two busy physical therapy clinics by providing exceptional remote administrative and patient support.

Key Responsibilities

Answer and manage up to 250 calls per week across two clinic locations.
Accurately enter new patient information and audit existing records for completeness.
Send and track digital intake forms to new patients.
Schedule patient appointments and follow-ups based on clinic availability.
Maintain and manage patient waitlists effectively.
Send medical records upon request while ensuring HIPAA compliance.
Process patient payments securely and accurately.
Address general insurance and billing inquiries.
Communicate with clinical staff regarding patient needs and scheduling updates.
Uphold a high standard of accuracy and privacy across all tasks.

Qualifications

Proven experience in a medical front desk or administrative role (physical therapy experience a plus).
Strong understanding of medical insurance and basic medical billing practices.
High attention to detail—essential for managing two clinic schedules accurately.
Comfortable handling a high call volume and shifting tasks quickly based on patient and clinic needs.
Proficiency in using scheduling and medical records software (experience with EMR systems preferred).
Excellent written and verbal communication skills.
Ability to work independently in a remote setting with minimal supervision.
