Job Summary:
We are seeking a meticulous and organized Records Custodian to manage and safeguard our organization’s records in compliance with legal, regulatory, and company policies. The ideal candidate will play a key role in ensuring proper handling, storage, retention, and disposal of physical and digital records while maintaining confidentiality and security.
Key Responsibilities:
- Maintain accurate and up-to-date records of all documents, including paper and electronic formats, including subpoenas.
- Accurate and timely response to subpoena requests.
- Implement and manage records retention policies in accordance with legal and regulatory requirements.
- Ensure proper storage, organization, and cataloging of records, both physical and digital.
- Facilitate timely and secure access to records for authorized personnel to and from case managers, attorneys, doctors, and any authorized specialists or facilities.
- Coordinate and support the disposal of records in compliance with retention schedules.
- Conduct regular audits and assessments to ensure compliance with records management standards.
- Provide training to staff on records management procedures and best practices.
- Assist in responding to internal and external records requests in a timely and efficient manner, including subpoenas.
- Perform data entry, scanning, and indexing of documents as necessary.
- Stay updated on records management trends, technologies, and best practices.
Qualifications:
- High school diploma or equivalent required.
- Preferred proven experience in records management, file organization, or a similar administrative role.
- Strong understanding of communication and teamwork.
- Ability to understand principles of subpoenas regarding laws and regulations.
- Proficiency with office software such as Microsoft Office and EHR (electronic health records).
- Excellent attention to detail and strong organizational skills.
- Ability to manage and prioritize multiple tasks efficiently and independently.
- Strong communication and interpersonal skills to collaborate with various departments.
Preferred Qualifications:
- Certification in records management (e.g., Certified Records Manager - CRM) is a plus.
- Experience with electronic document management systems (EDMS) and cloud storage platforms is a plus.
- Knowledge of industry-specific regulations and standards for records management (e.g., HIPAA, GDPR) is a plus.
