Patient Service Representative (PSR)

Hours: M-F | 8am – 4:30pm

Position Summary

In this frontline role as a Patient Service Representative (PSR), you’ll play a key part in supporting patients and clinical staff by ensuring seamless registration, billing, documentation, and communication processes — all while providing an exceptional patient experience.

Key Responsibilities

Interview patients/representatives to gather accurate demographic and insurance information
Confirm insurance eligibility, referral requirements, and medical necessity using EHR tools and insurance websites
Answer and return phone calls and voicemails promptly and courteously
Assist with daily office workflows including opening/closing, lunch/admin transitions, and chart prep
Help clinical team with clerical duties and manage incoming faxes and digital documents
Utilize office equipment (phones, copiers, scanners, iPads, etc.) confidently and effectively
Report any equipment or system issues via proper channels
Direct patients to appropriate locations and support patient flow in the clinic
Communicate effectively with patients from diverse backgrounds and emotional states
Processing billing information and supporting contract data needs
Manage co-pay collection, credit card processing, and insurance documentation
Input and verify patient data in the electronic medical record (EMR) system
Prepare, explain, and obtain signatures for required forms
Receive and process medical records, referrals, and related documentation

Requirements

Minimum 2 years’ experience in a hospital or medical office setting
Familiarity with registration, insurance, and medical terminology
Proficient in computer systems, EHRs, and scheduling software
Strong communication and customer service skills
Ability to remain calm in fast-paced, emotionally sensitive situations
Respect for cultural diversity and patient confidentiality (HIPAA compliance)
