JOB SUMMARY: Reporting to the Chief Clinical and Wellness Officer (CCWO) and collaborating with the Executive Assistant and Human Resources staff, the Clinical Administrative Assistant provides a variety of administrative functions that support the Clinical and Medical Leadership’s administrative, clinical, and research roles. Interprets operating policies, and on a regular basis, exercise independent judgment in the resolution of administrative problems, with the ability to manage multiple projects simultaneously while maintaining an overview of the Clinical and Medical Leadership, and other designated clinical staff’s day-to-day activities.
JOB DUTIES AND RESPONSIBILITIES
Administrative
1. In support of clinical and medical leadership, schedule and arrange meetings; prepare and disseminate agendas; attend and record minutes at monthly meetings as assigned. May be required to attend and provide covering support during Board of Director meetings, in collaboration with the Executive Assistant.
2. Assist with coordination of CCWO’s administrative schedule, conferences, seminars, CME, and other events as requested. Working with the CCWO, has the ability to assist with required coordination of Clinical/Medical Leadership calendars as assigned.
3. Assist with maintaining business filing systems such as correspondence, forms, reports and other materials, including electronic data and report files for clinical/medical leadership as assigned.
4. Working with the Executive Assistant, assist with Clinical/Medical Leadership and Providers with expense reports and expense authorizations while coordinating with Finance to meet deadlines.
5. Assist and coordinate referral of inquiries to Human Resources. In coordination with Human Resources, assist with communicating Center Policies and Procedures within scope.
6. Support the Medical Director and CCWO with maintaining the Standardized Procedures for Nurse Practitioners and the Physician Assistant Agreements. Responsible to gather appropriate provider signatures for all new non-physician medical providers for such protocol/procedure and agreement maintenance.

Workforce, Credentialing, and Digital Communications:
8. Workforce recruitment for open positions, interns, volunteers, and precepts, in collaboration with Human Resources.
a. Assist with communication with hiring managers, has the ability to screen candidate information, and to assist in the interview process, specifically related to
Clinical/Medical Leadership hiring needs, as assigned. b. Assumes a lead role in planning and coordination of Provider Onboarding in collaboration with Operations and Clinical/Medical Leadership.
c. Responsible for the coordination of medical preceptor students, clinic interns, externs, shadow requests, and volunteers; to include securing access, ensuring adherence to Center policies and protocols, in advance of the students’ arrival.
d. Assists with coordinating staff activities and events as assigned.
9. Staff Credentialing for all required positions.
a. Coordinate with Human Resources and Office Managers/Supervisors to schedule and monitor annual reviews for clinical/medical leadership’s direct reports, ensuring compliance with credentialing requirements.
b. Responsible for tracking CPR certification status for staff required to be CPR/BLS certified by licensure and certification, and for coordination of classes/instruction for renewals when provided by the Center.
10. Maintenance of digital communications via Intranet, Website, and Social Media platforms.
a. Working in collaboration with the Human Resources and Admin Team, assists with general content creation.
b. Takes a lead role in coordinating and assisting with content creation as it relates to Clinical and Medical Communication needs for patients and public with the CCWO as assigned.
c. Can assist with monitoring of public engagement on social media platforms.
QUALIFICATIONS
To qualify for this position, an individual must possess any combination equivalent to sufficient experience and/or education that would likely produce the required knowledge, skill, and ability requirements listed above. A typical way to acquire the required qualifications would be:
Experience:
Three (3) years of administrative support/medical office experience that included organization, coordination, and performance of duties at progressively responsible levels.
Education:
High school diploma or GED required.
Associate degree in business or related field preferred.
