We are a growing private practice serving patients in downtown Madison and the surrounding Madison communities for 33 years. Dr. Jay Hazen and Dr. Keith Foster are adding an energetic, and positive person who is dedicated to serving others and interested in building long term relationships.
The Patient Care and Office Coordinator is the first point of contact for patients over the phone and upon arrival to the practice. The team member is responsible for creating a welcoming, friendly patient experience and exude professionalism and exceptional customer service skills.
Essential Duties
· Enthusiastically greet an assist patient over the phone and in person
· Update patient accounts for accuracy of general information and insurance verification
· Schedule new patient appointment, create an account, email digital forms, and process paperwork
· Answer phones with a high degree of professionalism and direct calls and/or take messages as needed. Check and respond to voice mails throughout the day.
· Manage office emails for patient requests, new patient information, appointment confirmations, and dental professional correspondences
· Responsible for confirmation of appointments using a variety of communication tools
· Schedule and adjust patient appointments to maximizing patient care times and utilize reports for scheduling efficiencies.
· Utilize reports for unscheduled treatment and recall ensuring full schedules.
· Manage all aspects of patient dismissal; verify services and provider allocation is accurate, collect monies and post payments to account, discuss insurance and financial arrangements for future treatment recommended and schedule needed appointments.
· Understanding dental insurance and making financial arrangements for all appointments
· Manage the daily, weekly, and monthly schedules to meet practice production and collection goals
· Partner with the insurance coordinator to send electronic insurance claims and preauthorization’s
· Prepare and process referrals
· Scan documents into patient accounts
· Reconcile financial reports verifying daily collections at the end of each day
· Adhere to HIPPA and OSHA compliance
· Ensure office supplies are stocked and order as needed.
