Role Overview
Headspace is looking for a highly organized and proactive Part-Time Administrative Assistant to support our team with day-to-day operations. This role is perfect for someone who thrives in a fast-paced, mission-driven environment and wants to contribute meaningfully — even part-time — to work that improves lives.
What You’ll Do
- Provide administrative support to assigned leaders or teams (e.g., scheduling, calendar management, meeting coordination)
- Prepare meeting agendas, take notes, and track action items
- Assist with document preparation, file organization, and data entry
- Manage travel arrangements and expense reports
- Support internal communications and team event planning (both virtual and in-person)
- Help maintain digital organization systems (e.g., Google Drive, Notion, Slack channels)
- Handle ad hoc administrative requests as needed
What You’ll Bring
- 2+ years of administrative or operations support experience
- Strong written and verbal communication skills
- Exceptional attention to detail and time management
- Comfort working independently in a remote-first environment
- Proficiency with Google Workspace (Docs, Sheets, Calendar), Slack, and other collaboration tools
- A calm, compassionate demeanor aligned with our mindfulness-focused mission
- Bonus: Experience supporting remote or cross-functional teams
Work Schedule
- 20–25 hours/week
- Flexible hours, with some overlap in standard business hours (PST preferred)
