EXPERIENCED DENTAL TREATMENT COORDINATOR – PRIMARY RESPONSIBILITIES
The Dental Treatment Coordinator is responsible for managing and guiding the patient experience from initial consultation through case completion. This includes patient education, treatment presentation, financial coordination, and communication between patients, providers, and specialists. The Coordinator plays a critical role in ensuring that each patient receives outstanding service, clarity on treatment plans, and seamless scheduling and support throughout their care journey.
EXPERIENCED DENTAL TREATMENT COORDINATOR – SPECIFIC DUTIES
- Manage and oversee the patient flow and front desk operations to ensure an exceptional patient experience.
- Maintain a professional, welcoming, and organized reception area, ensuring all patient-facing materials (education brochures, forms, media) are current and well-presented.
- Greet patients warmly and assist them with check-in, consent forms, and medical history updates.
- Review the daily and weekly schedule for accuracy and efficiency; help optimize the schedule for production and patient needs.
- Confirm appointments and manage follow-ups for treatment sequences, specialist referrals, or lab cases.
- Review treatment plans prepared by the prosthodontist and communicate them effectively and confidently to patients.
- Explain complex dental procedures (implants, full-mouth reconstructions, restorative plans) in simple, understandable terms.
- Present financial investment and options, including phasing, insurance estimates, and third-party financing.
- Follow up with patients regarding pending treatment and recall scheduling.
- Work closely with clinical staff to stay informed about case status, lab timing, and patient-specific needs
- Ensure all patient charts and digital records are updated, organized, and maintained with full compliance to HIPAA regulations.
- Coordinate transfer and tracking of patient records, imaging, lab correspondence, and referrals.
- Prepare patient files and radiographs for the day’s appointments.
- Accurately document all treatment discussions, financial conversations, and patient communications in the system.
- Verify dental benefits and eligibility prior to patient visits.
- Submit pre-authorizations, claims, and required attachments (radiographs, narratives, etc.) accurately and promptly.
- Follow up on unpaid or denied claims; communicate effectively with insurance companies and patients.
- Collect co-pays and outstanding balances at time of service; provide accurate receipts and documentation.
- Assist patients in understanding financial obligations and arranging payment plans where appropriate.
- Manage complex treatment schedules involving multiple visits, labs, and external specialists.
- Maintain a quick-fill list to optimize appointment slots and reduce downtime from cancellations or no-shows.
- Collaborate with assistants and hygienists to coordinate chair time efficiently and maintain optimal patient flow.
- Anticipate needs for longer procedures and lab timelines to avoid delays in care delivery
- Serve as the central communication hub between patients, the prosthodontist, assistants, hygienists, and labs.
- Communicate concerns or feedback to the prosthodontist regarding case progress, patient hesitations, or procedural preferences.
- Participate actively in morning huddles, case conferences, and team meetings.
- Take initiative in resolving patient concerns and escalating cases when needed

EXPERIENCED DENTAL TREATMENT COORDINATOR – POSITION REQUIREMENTS
- Minimum of 3 years of experience as a Dental Treatment Coordinator (specialty practice experience preferred).
- Solid understanding of prosthodontic procedures, terminology, and workflows (e.g., implants, crowns, bridges, overdentures, full-mouth rehab).
- Proficient in practice management software such as Dentrix, Open Dental, Eaglesoft, or similar.
- Familiar with dental coding, insurance claim procedures, and third-party financing tools (e.g., CareCredit, LendingPoint).
Job Type: Full-time
Pay: $23.00 - $36.00 per hour
