CLI Vascular Specialists is seeking a motivated and experienced Front Desk / Medical Office Lead to join our team. We operate two offices (West Palm Beach and Wellington), with patient appointments scheduled one day per week in each location. This full-time role involves working closely with a Vascular and Interventional Radiology physician to manage daily operations efficiently across both offices.

Responsibilities:

Supervise and coordinate the efforts of 2-3 front-office staff members.
Manage all front-office operations, including answering phones, coordinating new patient intake, chart preparation, visit confirmations, patient registration, and maintenance of patient records.
Oversee in-office clinical operations, including managing medical assistants and optimizing physician workflow.
Coordinate scheduling for surgical procedures and follow-ups.
Verify insurance information and obtain authorization for office visits, ultrasound studies, and hospital procedures.
Provide ongoing staff training and development.
Prepare and submit billing for office visits, ultrasound studies, and hospital procedures.
Prepare monthly office reports.
Ensure the office remains clean, organized, and fully operational throughout the day.
Troubleshoot and manage office equipment (phones, computers, copy machines, etc.).
Maintain professional and positive relationships with patients, staff, and management.

Qualifications:

Preferred: Minimum of 2 years of Front Desk Office experience in a private practice medical office.
Preferred: At least 1 year of lead or managerial experience in a medical office.
Proven medical insurance and billing experience, including knowledge of deductibles, copayments, co-insurance, benefits/eligibility, and HMO/PPO plans.
Strong proficiency in computer systems and technology, particularly digital platforms and Electronic Medical Records (EMR).
Familiarity with office management systems and best practices.
Excellent time management skills and the ability to multi-task and prioritize effectively.
Strong attention to detail and exceptional problem-solving abilities.
Outstanding written and verbal communication skills, both over the phone and in person, with patients and staff.
