The Wellness Institute of Michigan has been in existence for over 14 years and is provider owned. We treat mental health issues and addictions and serve all populations and age groups from ages 1 to 100. The strength of our organization is that we have a competent, strong, and supportive team of therapists and administrative staff. About the position:

The Wellness Institute of Michigan is seeking a billing manager who is responsible for all aspects of billing and collections for the practice. This position also supervises one billing assistant and works closely with the administrative and leadership teams. This role requires professional relationships with therapists and the President/CEO of the practice to ensure that all billing is completed efficiently and correctly to support the financial health of the practice. This is a leadership position which reports directly to the President/CEO of the company.

Necessary qualifications:

· Thorough understanding and working knowledge of the insurance claims and payment processes.

· Excellent computer and tech skills: billing, reporting, and troubleshooting in EMR software, working with insurance websites, working with all Microsoft Office products, email, and digital interoffice communications.

· Professional written and oral communication skills.

· Excellent math/accounting skills.

· Strong supervisory skills-ability to train and lead others.

· Excellent customer service skills.

· High level of organizational skills—ability to multi-task with a high level of attention to detail.

· Strong problem-solving skills.

· Stay updated and well informed on mental health coding, compliance, and billing practices.

· Ability to enjoy and integrate with the Wellness Institute of MI team.

Duties and responsibilities—Fee for service billing:

· Working knowledge of confidentiality and HIPAA guidelines, 1CD-10 and DSM V.

· Supervises the daily postings of cash, checks, and electronic fund transfers from insurance companies and patients.

· Ensures claims are processed daily and error free.

· Utilizes insurance websites for confirmation of patient eligibility and benefits. Works/trains front staff and billing assistant to be proficient with them as well.

· Develops, updates, trains and implements all WIM billing policies and procedures for staff and providers to guarantee consistency.

· Supervises and manages the receipt and processing of 835 files.

· Manages and resolves all claim denials or non-payment issues with insurance companies via phone calls, emails, or written correspondence through US mail.

· Troubleshoots and resolves claim creation issues with therapists, assists with resolving missing encounters.

· Balances daily deposits and postings.

· Manages and monitors sending paper and e-statements to patients on a weekly basis.

· Responds to patient billing inquiries either by phone or email.

· Executes reports on a weekly and/or monthly basis to monitor account aging, refunds, denials, unresolved claims, account pre-collections, and collections.

· Works with patients to arrange payment plans if necessary.

· Supervises and trains the billing assistant to WIM standards and to ensure growth in the position.

· Maintains and submits financial spreadsheets to WIM accountants.

· Meets regularly with the President/CEO to report on the financial health of the practice.

· Attends and participates in weekly leadership meetings with the CEO/President, clinical director, administrative assistant, and front office supervisor.

Additional duties to include:

· Manage health, vision, and dental benefits for employees and maintain a spreadsheet of participation.

· Maintain a relationship with the practice’s employee benefit agency.

· Assit with practice payroll if needed.

· Assit with miscellaneous financial/account projects when needed.
